Tasks
Tasks with due times and reminders, tasks about a contact, lists, subtasks, a board and statuses.
A task
Tasks → New task, the Task action in a chat, or the Tasks tab on a contact. A task has what to do, the assignee, when, a contact, priority, a list, a Markdown description and the task custom fields.
When the due time comes, the assignee gets a notification (the bell at the bottom of the menu). Done closes the task, Reopen opens it again.
The task list has Open, Done and Overdue filters. Without permission to see everyone's tasks, a staff member sees tasks assigned to them or set by them.
Task lists
Settings → Task lists: "Sales", "Service", "Backlog". Contact and conversation tasks may also have no list.
A list has "Who else sees the list": roles that see its tasks even when their role gives no access to tasks, and whether they can comment. This way you can open one list to a client without showing anything else. It is an ordinary access rule, visible in Settings → Access rules.
Subtasks
A big task is split into steps: the Subtasks tab shows progress such as "Subtasks · 1/6", and Add subtask adds a step. A subtask shows which task it is part of.
Board and statuses
The Board button above the list shows tasks in columns. The task board picks a list and groups by any field, like the deals board.
Your own statuses ("New", "In progress", "Review", "Done") are a "Choice from a list" field for tasks. An option marked "Closes the task" makes the task done, and Done on a task sets the first such option.
Syncing with other systems
The External key field under "For syncing" is a key, unique within a list, by which an outside system finds the task. Through the REST API tasks can be created and updated by this key.
